Smart Truck Inc. ("Smart Truck," "we," "our," or "us") respects your privacy.
This Privacy Policy explains how we collect, use, store, disclose, and protect
information when you use our website (smarttruck.app), the SmartTruck Fuel
mobile application, our client and driver portals, fuel-card services, fleet
savings tools, customer support, and related products and services
(collectively, the "Services").
By using the Services, you agree to the practices described in this Privacy
Policy. Where a section refers specifically to "the mobile app," it describes
the SmartTruck Fuel mobile application; other sections may apply to the web
platform or back-office services that fleet administrators use.
1. Information We Collect
A. Account and Contact Information (web platform and customer onboarding)
For customer accounts created through our web platform, sales process, or
onboarding, we may collect:
- Company name and business address
- Account administrator name, email address, and phone number
- Job title or role
- Login credentials for the web platform
- Account permissions
- DOT, MC, or fleet identification information, where applicable
The SmartTruck Fuel mobile app does NOT collect email, name, job title, or
business address. The mobile app authenticates drivers solely with the
driver's phone number and a numeric PIN issued by the driver's employer.
B. Driver Authentication Information (mobile app)
When a driver signs in to the SmartTruck Fuel mobile app, we process:
- The driver's mobile phone number (10-digit US number)
- The numeric PIN issued by the driver's fleet
- A server-issued driver identifier returned by our verification service
The PIN is transmitted over HTTPS to our verification endpoint and is not
stored on the device. Drivers are not asked for, and the app does not collect,
email addresses, names, addresses, or government identifiers.
C. Fleet, Driver, and Vehicle Information (web platform / back office)
For accounts managed through our web platform, fleet administrators may
provide or generate:
- Driver names, internal driver IDs or employee numbers
- Driver phone numbers used for app sign-in
- Assigned vehicles, truck or trailer numbers
- Fuel card assignments
- Company-level fleet structure and user roles
This information is provided by the customer (the fleet) and is not collected
from the driver through the mobile app.
D. Fuel Card and Transaction Information
To provide fuel-discount and fuel-code services we may receive or process:
- Fuel card provider information and card identifiers
- Fuel transaction date, time, station, location, quantity, retail price,
discount, and net cost
- Card usage status and one-time fuel-code issuance records
- Invoice and payment status, account balance information
The SmartTruck Fuel mobile app receives a one-time fuel code generated through
our payment partner Relay Payments and displays it to the driver; the app
itself does not store transaction history, balances, or invoices on the
device.
We do not store full payment card numbers in the mobile app. Sensitive
payment information is handled by authorized payment processors, banks, and
fuel-card providers.
E. Billing and Payment Information (web platform / billing)
For business customers we may collect, through our billing systems and
authorized payment processors:
- Billing contact details and invoice history
- Payment method references and bank or processor confirmation data
- Tax or business documentation where required
- Credit terms, weekly limits, or account risk information
The mobile app does not collect or display billing or payment-method data.
F. Location-Related Information
We process location data in three distinct ways:
- Fuel station location: latitude, longitude, and address of fuel stations,
returned by our server to the mobile app and the web platform so users
can see stations on a map.
- Device location (mobile app, foreground only): the SmartTruck Fuel mobile
app requests location permission only on the Fuel Stations Map screen and
only while the app is in use ("when in use" / foreground). When granted,
the app reads a single location fix to display a "you are here" marker on
the map and to fit the map view around the user and nearby stations. The
app does not track location in the background, does not stream location
to our servers, and does not retain location history. You can decline or
revoke this permission at any time in your device settings; the rest of
the app continues to function normally.
- Vehicle / fleet location from authorized integrations (web platform):
where a customer connects an ELD, GPS, or telematics provider to their
SmartTruck account through the web platform, vehicle location data may
flow into the platform under the customer's control. This integration
is not part of the mobile app.
G. Uploaded Files and Documents (web platform only)
Through the web platform, users may upload contracts, fuel-card documents,
fleet documents, receipts, invoices, support attachments, and business
verification documents.
The SmartTruck Fuel mobile app does NOT include any file, photo, document, or
camera upload feature, and it does not request camera, photos, or media
permissions.
H. Support and Communication Data
When you contact our support team by email, phone, or web form, we may
collect messages, email and chat content, call notes, issue descriptions,
attachments, screenshots, feedback, and service requests.
I. Device, Usage, and Technical Data
When you use our website or the mobile app, we may automatically collect or
log on the server side:
- IP address, device type, operating system, app version
- Login timestamps and authentication outcomes
- Pages or screens viewed (web platform)
- Server-side error logs and security/fraud-prevention logs
The current version of the SmartTruck Fuel mobile app does not include
third-party crash-reporting, analytics, or advertising SDKs. The app writes
diagnostic messages only to the device's local console; these are not
transmitted to Smart Truck.
J. Cookies and Similar Technologies (website only)
Our website (smarttruck.app) and web portals may use cookies and similar
technologies to keep users logged in, remember preferences, improve
performance, analyze usage, and protect against fraud. You can control
cookies through your browser settings.
The SmartTruck Fuel mobile app does not use cookies for tracking. The app
includes one in-app map view that loads OpenStreetMap map tiles and the
Leaflet open-source mapping library; this is necessary to render the fuel
stations map.
2. How We Use Information
We use collected information to:
- Verify drivers and issue one-time fuel codes
- Display fuel station locations, prices, discounts, and net prices
- Manage fleet accounts, fuel cards, and card assignments (web platform)
- Provide client, driver, and admin dashboards (web platform)
- Process invoices and payments (web platform)
- Provide customer support
- Maintain security, prevent fraud, and detect misuse
- Improve our website, mobile app, and services
- Send operational and service-related communications
- Comply with legal, tax, accounting, and regulatory obligations
- Enforce our agreements, payment terms, and platform rules
We do not use personal information for unrelated purposes without appropriate
notice or consent.
3. How We Share Information
A. Service Providers
We share information with trusted service providers that help us operate,
including cloud hosting and database providers, payment processors, fuel-card
networks, email and communication providers, analytics providers (web only),
customer-support tools, and security and fraud-prevention providers.
B. Fuel Card, Payment, and Fleet Partners
To issue one-time fuel codes through the mobile app, we share the minimum
information required (such as a server-side driver identifier and a
constraint amount) with our payment partner Relay Payments. We may also
share relevant business, card, transaction, or billing information with fuel
networks, banking partners, and ELD/GPS/telematics providers when a customer
authorizes the integration.
C. Customer Account Administrators
If your account is provided through your employer or fleet, account
administrators may access information related to your use of the Services,
including driver activity, card assignments, fuel transactions, uploaded
documents, and support requests.
D. Legal and Compliance Purposes
We may disclose information when required to comply with laws or legal
process, respond to lawful requests from authorities, enforce our agreements,
protect Smart Truck's rights, property, and security, prevent fraud or abuse,
or protect users, customers, or the public.
E. Business Transfers
If Smart Truck is involved in a merger, acquisition, financing, restructuring,
sale of assets, or similar transaction, information may be transferred as
part of that transaction.
4. We Do Not Sell Personal Information
Smart Truck does not sell personal information. We do not share personal
information with third parties for cross-context behavioral advertising. We
do not use your data to track you across other companies' apps or websites
for advertising purposes. The SmartTruck Fuel mobile app contains no
advertising SDKs and no advertising identifiers are read or transmitted.
5. Mobile App Permissions
The SmartTruck Fuel mobile app requests only the permissions needed for its
core functionality.
- Location (foreground / "while in use" only): Used on the Fuel Stations
Map screen to display a "you are here" marker and to fit the map view
around nearby stations. The app does not request background or
"always-on" location, does not track movement, and does not transmit
your device location to our servers. You can decline or revoke this
permission at any time in iOS or Android settings.
The SmartTruck Fuel mobile app does NOT request:
- Camera, photos, or media library access
- File or document picker access
- Push notification permission
- Microphone, contacts, calendar, Bluetooth, or motion sensors
- Background location
If we add new permissions in a future release, we will update this Privacy
Policy and the in-app permission prompt before requesting them.
6. Data Retention
We retain information for as long as reasonably necessary to provide the
Services, operate our business, maintain security, comply with legal
obligations, resolve disputes, collect payments, enforce agreements, and
maintain financial and transaction records. Retention periods vary by data
type:
- Driver authentication records (phone number, hashed PIN reference,
sign-in events) are retained while the driver's fleet account is active.
- Transaction and billing records are retained as required for accounting,
tax, and audit obligations.
- Support records are retained to resolve issues and improve service.
- Security logs are retained to detect fraud, abuse, and unauthorized
access.
When information is no longer required, we delete or anonymize it, except
where retention is legally or contractually required.
7. Account Deletion and Data Requests
If you are a driver using the SmartTruck Fuel mobile app, your account is
provisioned and managed by your employer or fleet. You may request access,
correction, or deletion of your personal information by contacting us at
[email protected]. Where the law requires it and we are able to verify
your identity, we will action your request directly; otherwise we will
coordinate with the fleet administrator who manages your account.
If you are a fleet administrator or business customer, you may request
access, correction, export, or deletion of personal information held in
your account by contacting [email protected].
We may need to retain certain information when required for legal compliance,
tax and accounting records, fraud prevention, security investigations,
payment disputes, contract enforcement, or fuel transaction records. If we
cannot fully delete certain information, we will explain why and limit
further use to the extent the law requires.
8. Your Privacy Rights
Depending on your location, you may have the right to access, correct,
delete, port, restrict, or object to processing of your personal information,
and to withdraw consent where processing is based on consent. To exercise
these rights, contact us at [email protected]. We may verify your identity
before completing your request.
9. California Privacy Notice
If you are a California resident, you may have additional rights under the
CCPA/CPRA, including the rights to know, access, correct, delete, and opt
out of certain sharing of personal information. Smart Truck does not sell
personal information and does not knowingly share personal information for
cross-context behavioral advertising. To submit a California privacy request,

10. European Economic Area, United Kingdom, and Switzerland Users
If you are located in the EEA, the United Kingdom, or Switzerland, we
process personal information under applicable data protection laws,
including the GDPR where applicable. Our legal bases include performance of
a contract (driver verification, fuel-code issuance), legitimate business
interests (fraud prevention, service improvement), legal compliance, and
consent where required (e.g., device location). You have the right to lodge
a complaint with your local data protection authority.
Smart Truck operates internationally; your information may be processed in
the United States or other countries where our service providers operate.
We use reasonable safeguards where required by law.
11. Security
We use reasonable administrative, technical, and organizational measures to
protect information against unauthorized access, loss, misuse, alteration,
or disclosure, including access controls, authentication controls,
encryption in transit, secure hosting, monitoring and logging, role-based
permissions, and vendor security reviews. No system is completely secure;
users are responsible for keeping their PIN and login credentials
confidential and notifying us promptly of any suspected unauthorized access.
12. Children's Privacy
The Services are intended for business users. We do not knowingly collect
personal information from children under 13, or under the applicable age of
consent in the user's jurisdiction. If we learn that we have collected
personal information from a child without proper consent, we will delete it
as required by law.
13. Third-Party Services and Links
The Services rely on third parties whose privacy practices are governed by
their own policies, including: Relay Payments (one-time fuel-code issuance);
fuel networks and fuel-card providers; payment processors and banking
partners; cloud hosting and email providers; and, in the mobile app's Fuel
Stations Map view, OpenStreetMap (map tiles) and the Leaflet open-source
mapping library delivered via the unpkg CDN. Where customers connect ELD,
GPS, or telematics providers to the web platform, those providers' privacy
practices also apply.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material
changes, we may notify users by email, in-app notice, website notice, or
other appropriate method. The updated Privacy Policy will be posted with a
new "Last Updated" date.
